Server log files
Each time this website is accessed, our hosting provider Cloudflare processes the data your browser transmits: IP address, time of the request, address requested, referrer URL, browser type and version and the operating system used. Without these data the pages cannot be delivered or protected against attacks.
In addition, Cloudflare’s logging feature “Workers Logs” is switched on for the website. It may record requests with the time, the address requested and technical metadata so that we can find errors. Cloudflare deletes these logs after seven days at the latest (Cloudflare documentation on Workers Logs). The data are not combined with other sources.
The legal basis is Art. 6 (1) (f) GDPR; our legitimate interest lies in the error-free delivery and the security of the website. You may object to this processing (see “Right to object” below).
Cookies and tracking
This website sets no cookies for analytics or advertising purposes. No visitor statistics are collected, no profiles are created and no data are passed to third parties.
Only your choice between light and dark mode is stored in your browser’s local storage. This entry never leaves your device and permits no conclusions about you personally. You can delete it at any time through your browser settings.
Fonts and external content
The typeface used is delivered from our own server. There is no connection to Google Fonts or any other provider. No maps, videos, social media elements or other third-party content are embedded.
Contact form and e-mail
The enquiry form on this website transmits no data to our server. It composes an e-mail from your entries and hands it to your own e-mail program. Only when you send that e-mail do your details reach us.
We process your enquiry and any e-mails you send us in order to answer them and prepare a booking. The legal basis is Art. 6 (1) (b) GDPR (pre-contractual measures taken at your request). We store the data until the purpose no longer applies or you ask us to delete them; statutory retention periods remain unaffected.
Our mailbox info@ferienhauskranich.com is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. STRATO stores the e-mails on our behalf as a processor under Art. 28 GDPR.
Booking data
If a booking is made we process the main tenant’s data required to perform the contract: name, address, telephone, e-mail, travel dates, number of adults, children and dogs, the payments received and, for the final statement, meter readings and any extras booked.
We also store the main tenant’s date of birth, place of birth and nationality in order to pre-fill their registration form (see next section).
The legal basis is Art. 6 (1) (b) GDPR (performance of a contract) and, for the registration form details, Art. 6 (1) (c) GDPR (legal obligation).
Registration form (fiche individuelle de police)
France requires holiday accommodation providers to have every guest who is not a French national – including citizens of other EU countries – fill in a registration form and sign it on arrival; children under 15 are entered on the form of an adult. According to the law, its purpose is to prevent breaches of public order, to support judicial investigations and to search for persons in their own interest.
The legal basis is Art. 6 (1) (c) and (3) GDPR in conjunction with Art. R. 814-1 to R. 814-3 of the French Code of Entry and Stay of Aliens and of the Right of Asylum (CESEDA) and the ministerial order of 1 October 2015, which sets out the model form.
The form contains exactly the details of the official model: surname and first names, date and place of birth, nationality, permanent address, mobile number, e-mail address, arrival and intended departure, and your signature. Every person aged 15 or over fills in a form of their own; children under 15 are entered on the form of an accompanying adult. No details of dogs are included, and we do not copy identity documents. The details come from you; we may pre-fill the main tenant’s details from the booking.
The details are required by law. Anyone who does not provide them or does not sign may be refused the accommodation.
We do not pass the forms on to anyone of our own accord. We hand them over only if the French police or gendarmerie ask for them. After six months we destroy them; this also applies to scans and e-mails through which a form reaches us.
The registration form on this website runs entirely in your browser. It stores nothing, not even in the browser’s storage, and transmits nothing to us or to Cloudflare; loading the page only produces the connection data described above. Your details reach us only with the printed form.
You have the right of access, rectification and restriction of processing, to erasure once the period has expired, and the right to lodge a complaint. There is no right to object and no right to data portability here, because the processing is based on a legal obligation.
Management software
We manage bookings with our own password-protected management software. It runs at Cloudflare, Inc. (Cloudflare Workers with the Cloudflare D1 database); the database is kept in a data centre in Europe. Cloudflare processes the booking data on our behalf as a processor under Art. 28 GDPR.
Storage period
Enquiries that do not lead to a booking are kept until they have been dealt with or until you ask us to delete them. Booking, contract and accounting records are kept for as long as tax and commercial retention rules require (usually six to ten years) and deleted afterwards. Registration forms are kept for six months and then destroyed, as are scans and e-mails of them (Art. R. 814-3 CESEDA).
Hosting
The website and the management software run at Cloudflare, Inc., 101 Townsend Street, San Francisco, CA 94107, USA. Cloudflare processes the connection data mentioned above and – in the management software – the booking data. Cloudflare is certified under the EU-US Data Privacy Framework; standard contractual clauses under Art. 46 GDPR apply in addition. Further information: cloudflare.com/privacypolicy
Your rights
You have the right at any time to obtain free information about your stored personal data, their origin and recipients and the purpose of the processing (Art. 15 GDPR) and, where the legal conditions are met, a right to rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20 GDPR). Simply contact info@ferienhauskranich.com.
You also have the right to lodge a complaint with a supervisory authority (Art. 77 GDPR).
Right to object under Art. 21 GDPR
Where we process data on the basis of Art. 6 (1) (f) GDPR (server log files), you may object to this processing at any time on grounds relating to your particular situation. We will then no longer process the data unless we can demonstrate compelling legitimate grounds which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims. An informal message to info@ferienhauskranich.com is sufficient.
